Context

Squadstack is a 250-person company with an engineering team of 50. They operate across multiple AWS accounts within a multi-cloud setup. The team's primary AWS spend goes towards services RDS,EC2 ,S3, SageMaker and CloudWatch.

As part of their financial strategy, Squadstack has a clear objective to keep infrastructure costs within a specific percentage of their revenue. Ensuring this balance while scaling and managing complex cloud environments became increasingly important for them.

Challenges

Initially, the company operated with a single AWS root account, regularly monitoring their architecture and AWS reports.

However, as they scaled and transitioned to an organizational AWS account setup, their visibility decreased, since they no longer logged into these accounts regularly. This shift created multiple blind spots across accounts, leading to cost leakages.

With reduced visibility into their cloud resources, it became difficult to track over-provisioned or underutilized assets, making cost optimization a challenge.

As Squadstack grew, managing costs across multiple AWS accounts became more challenging. They needed deeper and clearer insights into resource usage to build on the work already being done to control spending.

Solution

  • Astuto’s OneLens identified underutilized resources, such as EBS volumes, CloudWatch alarms, and Elastic IPs, resulting in immediate cost savings once these recommendations were acted upon.
  • The platform's cost-saving recommendations on Lambda, Intel to AMD transitions, EBS volumes, and older EC2 instances offered clear steps to optimize resource usage and lower costs.
  • OneLens provided clear visibility across all of Squadstack's multi-cloud environments, helping them identify blind spots and uncover cost leakages across their resources.
  • OneLens categorized opportunities by effort—easy, medium, and hard—enabling Squadstack to implement quick wins while keeping medium and long-term optimizations in the pipeline, ensuring ongoing cost efficiency rather than a one-time effort.

Outcomes

  • Practical cost savings: By leveraging actionable opportunities identified through OneLens, SquadStack was able to achieve savings without the need for complex architectural changes.
  • Additional optimization: While SquadStack’s internal team was already optimizing their environment, the additional insights on data transfer and storage provided further opportunities for cost reduction.
  • Reduced manual workload: With improved visibility and clearer insights, Squadstack reduced the manual hours spent managing costs, allowing their team to focus more on strategic initiatives.
  • Ongoing cost efficiency: The process for identifying savings became more streamlined, helping Squadstack ensure that cost optimization would continue as part of their regular operations.
